BOOKING AND RENTAL TERMS for SUOMEN KOTTERIA & SAVANTUM RENTAL VILLAS
Below are the rental terms and booking conditions for Suomen Kotteria and Savantum rental villas and holiday homes in Pyhtää. Suomen Kotteria and Savantum will below be referred as landlord.
1. BOOKING, PAYMENT TERMS AND CANCELLATIONS
A reservation is usually fully confirmed only after the rent has been fully paid. If there is a registered company making a reservation, these terms become binding for both parties when the order confirmation has been sent to the customer.
Cancellation should be done in written form. If the cancellation is made less than 3 months prior to the start of the rental period, there will be no refunds and the full rent will be charged. If the canceled period can be leased to another client, the landlord will refund the difference between paid price and the new rental price, deducted by handling costs of 60 €. If the cancellation is made earlier than 3 months, only handling cost of 60 € will be charged.
The landlord may cancel a booking in case of force majeure situation. In this situation, the client is entitled to a full refund of the sum paid to the landlord. If the customer fails to pay or misses the payment deadline, the booking may be cancelled without further notification. If a booking has to be interrupted because of disruptive behavior on the part of the client, no payments will be refunded.
2. STAYING AT the KOTTERIA VILLAS
2.1 Using the villa
The villa will be available for the clients usually from 16:00 on the day of arrival until 11:00 am on the departure day. Some exceptions and more information about arrival times can be found in pricing table. Arrivals and departures regarding meetings can be agreed separately with the landlord. If the tenant does not leave the cottage by the agreed time, we will charge a minimum of 20 € / every additional hour. The rental villas may only be used by the number of persons announced in villa introduction. Tents and caravans are not allowed unless separately agreed upon reservation. If there are more people staying in the villa than sated in the villa presentation, in this case there is an extra fee of 25€/person/night. There are neighbors near all the cottages. It is essential to ensure that there is no disturbing music or noise outside between 22 (10pm) and 07 (7 am). According to the Finnish law, all tenants must fill in a passenger registration form. You can find instructions and forms from the cottage living room, from a plastic pocket folder. When you leave, you should leave the filled passenger registration forms on the dining table. Customer is not allowed to rent the cottage a to third party without a written agreement with the landlord.
2.2 Bed linen and other equipment at the villas
Furniture, a kitchen and tableware, cooking and lighting, mattresses, blankets and pillows are included into the rent. Also toilet paper and the cleaning detergents are included in the rent. Soap and other toiletries are not included. Bed linen and towels are not included in the rental prices. If you wish, you can rent bed linen and towels at the price of 15/€ per person. It is recommended to order bed linen upon booking, otherwise we cannot guarantee availability. Bed linen can be found in the bedroom/dressing room closets. You can return the used sheets and towels in the laundry bin. Please note that sheets must be used when using a bed. Using sleeping bags also requires using sheets and pillow cases. If the tenant has used beds without sheets, the landlord has the right to charge the washing of mattresses from the tenants. The landlord has acquired some recreation equipment and accessories to the rental villas to increase comfort. If the equipment mentioned is however missing or out of order, we encourage the customer to contact our customer service and we will do our best to fix or to replace the item in question. Even if the landlord does not fix or replace the equipment in question, landlord is not liable to the customer. Any deviations from this must be agreed in writing
2.3 Smoking and pets
Smoking inside the cottage is strictly prohibited. Some pets might be allowed. Bringing pets must be agreed beforehand with the landlord in writing. Extra charge for each pet is 10€ per day.
2.4 Waste management
On the Kotteria villas there is a municipal waste service available. Please pack your waste tightly, the waste containers will be emptied usually once a week. If the conatiner is full, you can find a spare garbage container in the warehouse or behind it. If possible, recycle your paper, glass, metal and cardboard packages to save the nature. The closest recycling station for paper, glass, metal and cardboard packages is located in the ABC parking lot in Pyhtää. An other recycling center can be found at Prisma parking lot in Kotka, at ddress Hakamäentie 1, Kotka.
Cleaning is not included in the rental prices. All tenants must take care of the final cleaning during and after the stay unless otherwise agreed. If the tenant does not order the cleaning service from the landlord and if the cleaning in that case has not been carried out carefully, the landlord has
the right to charge a minimum of 75 euros cleaning fee. The hourly rate for non-reserved cleaning is 55 euros / hour. We recommend ordering the cleaning service from us. While staying in the cottage it is necessary to comply the cleanness of the cottage and the surrounding area. Visitors must leave the cottage in the same condition as it was found at the time of arrival at the cottage. Before leaving the cottage customers must wash the dishes, take out the trash, put the furniture back into its place. 3. COMLAINTS, COMPENSATION FOR DAMAGE AND FORCE MAJEURE
All complaints and notifications regarding the villa conditions or other rental issues shall be addressed without delay directly to the landlord, already during the stay at the villa.
3.1 The tenant responsibilities
If the tenant refuses to indemnify the spoilt or broken things to the owner of the cottages, the owner will inform the police about violations and transfer tourists’ data to the Finnish border control authorities and to the Consular Department of the Embassy of Finland in St. Petersburg, Moscow etc., which can then lead to difficulties in getting a visa or denial of visa application to Finland.
3.2 The Landlord responsibilities
The landlord will not be liable for any damage or inconvenience incurred by the client in the event of an unpredictable and insurmountable obstacle (force majeure) or some other comparable reason, such as a natural phenomenon, power failure, etc., that was not caused by landlord and that the landlord could not with all due reason foresee. Neither is the landlord responsible for any damage or inconvenience caused by regular natural phenomena.
4. THE LANDLORD RIGHTS
The landlord reserves the right to correct any errors in the price list before a rental agreement is made. Once an agreement has been made, the landlord has the right to rise the agreed price in the event of any changes in the taxes or public charges affecting the price of the holiday service. To ensure that the cottage in as good condition as possible for our customers, we reserve the opportunity continue maintenance until the customer arrival, and half an hour after that. Minor maintenance work we may need to do at other times during the rental period.
5. APPLICABLE LAW AND VENUE FOR THE RESOLUTION OF DISPUTES
The contracting parties will attempt to resolve any disputes out of court. Should they fail to reach agreement; any disputes will be settled by the Helsinki District Court. The contract is governed solely by Finnish law.
